For most agencies, new business runs through two channels: word of mouth and the owner occasionally making calls. That works while the agency is small, but it doesn't scale. Once you structurally need more clients, 'wait for the phone to ring' isn't a strategy. ICP outreach is.
Why a wide net delivers less than a sharp profile
The reflex at many agencies is: reach as many companies as possible, and something will come of it. In practice the opposite is true. A message sent to a thousand random companies is by definition generic, and generic messages get ignored. A message sent to a hundred carefully selected companies can be specific enough to actually get read.
The ideal customer profile (ICP) is the basis of that selection: sector, company size, growth stage, the type of vacancies they structurally have, and signals that they currently have a hiring problem. A company that grew strongly last month or just landed a large order often has acute hiring needs, and is a far warmer contact than a random company in the same sector.
Three channels, three functions
Email, LinkedIn and WhatsApp work best not separately, but as sequential touchpoints. Email suits a first, considered introduction that gives room to read. LinkedIn works well for a more personal, informal follow-up, especially because it surfaces a shared network or mutual connections. WhatsApp is the most direct channel and works best once there's already some recognition, not as the first touchpoint.
Deliverability is the technical prerequisite that's often skipped. If emails land in spam or domains aren't properly warmed up, the content of the message no longer matters: it simply doesn't arrive. Domain reputation, sending volumes and technical settings (SPF, DKIM, DMARC) are boring, but determine whether an outreach campaign gets a chance at all.
- Define the ICP based on companies that previously became good, long-term clients.
- Look for signals of acute hiring need: growth, new locations, recent vacancies.
- Build sequences with email as the opener, LinkedIn as follow-up, WhatsApp to accelerate.
- Invest in domain reputation and sending settings before scaling volume.
What 'a meeting in your calendar' actually means
The goal of ICP outreach isn't a large number of replies, it's a small number of meetings with companies that genuinely fit what the agency does well. A sequence that produces ten replies, eight of which become concrete meetings, is more valuable than one hundred replies where two lead anywhere. The quality of the ICP determines that difference more than the volume of outreach.
“A thousand generic messages get ignored. A hundred specific messages to the right companies get read.”
Agencies that set this up structurally, with a sharp ICP, considered sequences and attention to deliverability, see new-business acquisition shift from something dependent on luck and the owner's calendar, to a system that produces new conversations every week.
